Lesson 6 / 6 · 5 min read

Where to start this week

In short

To start, decide three things: one task (where time goes every day), one tool, and one person who checks before anything is sent. Stick with that for four weeks, note each week how much time was saved and how many mistakes were caught, then decide the next step.

Across five lessons we’ve covered: you already have the data, important AI answers need checking, some information must never leave the business, which tasks are safe, and how to avoid fraud. Now it’s time to act.

A one-page plan

Take a sheet of paper and answer four questions:

  1. Which task? The one that takes the most time each week. (For example: quotations, payment reminders, bill entries.)
  2. Which tool? Just one. Switching tools constantly teaches you nothing.
  3. Who checks? One name. That person reads every draft before it’s sent.
  4. How will you know it worked? For example: “Save 3 hours a week, and not a single wrong rate reaches a customer.”

Four weeks

  • Week 1: Only generate drafts, and read every one carefully. Note what you had to fix.
  • Week 2: Use the repeated mistakes to give the AI better instructions (for example: “leave the rate blank, I’ll fill it in”).
  • Week 3: Measure the time saved. Ask the team what got easier and what didn’t.
  • Week 4: Decide: continue with this task, add the next one, or try a different task.

An example (illustrative)

A Sahibabad unit chose payment reminders as its first task, with one tool and one office colleague checking. By week four, reminders went out on time and the owner was saving an hour or more a week. Their next task: quotation drafts.

Svadrishti Foundation is a non-profit, and spreading practical AI understanding is what we do. Read about AI Shiksha and AI Udyog on our Programs page. New lessons will be added to this course.

The examples in this lesson are illustrative, based on the kind of businesses found in industrial clusters like Sahibabad. They will be replaced with real, anonymised examples from Svadrishti's field diagnostics.

Try this week

Fill in the one-page plan below today: which task, which tool, who checks, and what you'll look at after four weeks to decide whether it worked.

Common questions

What if there's no benefit after four weeks?

That is useful information too. Either the task or the tool was wrong. Pick another task. AI won't help every business with every job.

Do we need to hire someone for this?

Not to begin with. These lessons exist so an owner or a trusted office colleague can start on their own.
