You already have the data
In short
Most small businesses don't need new software or a 'data project' to start using AI. The useful data already sits in WhatsApp chats, invoices, Tally exports, Excel sheets and call recordings, and today's AI tools can work directly with it.
A common belief among business owners: “AI is for big companies. We don’t have any data.”
The reality is the opposite. The data exists. It just isn’t neatly organised in one place.
Where your data already lives
Think about where your business’s daily information goes:
- WhatsApp: customer orders, supplier conversations, payment reminders.
- Invoices and GST paperwork: who bought what, at what rate, and when.
- Tally or Excel: stock, receivables, monthly accounts.
- Phone calls: complaints, new orders, price negotiations.
That is your data. Using AI on it once meant loading it into a large system first. Today’s AI tools can read PDFs, photos, spreadsheets and chat exports directly.
An example (illustrative)
Picture a packaging-materials unit in Sahibabad. The owner’s phone holds more than 400 quotations from the past year, saved as PDFs in WhatsApp. When a returning customer asks “what did you charge last time?”, someone spends half an hour scrolling.
No new software is needed. With those PDFs in one folder, an AI tool can be asked: “What rate did we quote this customer for 5-ply boxes last year?” The answer can come back in minutes. It still needs checking against the original quotation (lesson 2 explains why).
Where to start
Start where time is lost every day:
- Finding old information: quotations, bills, past orders.
- Writing the same messages again and again: payment reminders, order confirmations.
- Reading paper into Excel: bill entries, stock lists.
AI can help with all three, and none of them needs a data project first.
One important caution
Having the data doesn’t mean putting all of it into every AI tool. Customer names, phone numbers, bank and GST details need care. Before using a tool, understand where it sends your information.
The examples in this lesson are illustrative, based on the kind of businesses found in industrial clusters like Sahibabad. They will be replaced with real, anonymised examples from Svadrishti's field diagnostics.
Try this week
Write down one daily frustration, such as preparing quotations or finding old bills. Then note where the information for it lives today: WhatsApp, Excel, Tally or paper. That is where your AI journey starts.
Common questions
Do we need to fix our computer systems first?
Usually not. If the information exists in any form (PDF, photo, Excel, WhatsApp), AI tools can read it. Start with a small task; systems can improve over time.
What about paper registers?
Many AI tools can read a clear phone photo of handwritten Hindi or English. Always check what comes out against the original.
Will my data end up with someone else?
That is exactly the right question. Lesson 3 covers what should never go into an AI tool.
