Lesson 4 / 6 · 6 min read
Three safe first uses
In short
Start with work where AI makes a draft and a person checks it before it goes out: quotation or order-confirmation drafts, payment reminders, and summaries of long documents. Time is saved, and mistakes are caught before they reach a customer.
So far: you already have the data (lesson 1), and AI can answer the same question differently (lesson 2). So where to begin?
The rule is simple: AI drafts, a person sends.
Use 1: quotation and order-confirmation drafts
Most weeks bring several quotations in the same format. Give the AI an old quotation and the new requirement (item, quantity, delivery) and let it prepare the draft.
What the person checks: rate, quantity, tax, delivery date. Fill in or verify these four yourself. Never let the AI decide a rate.
Use 2: payment reminders
Chasing payments matters but is awkward to write. AI can produce polite, clear messages: a gentle first reminder, a firmer second one.
What the person checks: the amount and dates are right, and the tone suits the relationship. Don’t put the customer’s phone number into the AI (lesson 3).
Use 3: summaries of long documents
Government circulars, a large customer’s contract, tender documents. Ask the AI: “What dates, conditions and penalties in this matter to me?”
What the person checks: every important point in the summary, matched to the same page in the original. For decisions involving money or law, rely on the original document and your adviser.
An example (illustrative)
The owner of a food-processing unit in Sahibabad spends an hour every Monday morning writing messages to suppliers and customers. Now AI prepares all the drafts at once; the owner reads them in 15 minutes, checks rates and dates, and sends them. The time saved goes into the production floor.
What the three have in common
In all three, a mistake can be stopped before it reaches a customer, because you sit in between. That’s what makes it a safe start. When a task goes weeks without needing corrections, move on to the next one.
The examples in this lesson are illustrative, based on the kind of businesses found in industrial clusters like Sahibabad. They will be replaced with real, anonymised examples from Svadrishti's field diagnostics.
Try this week
Pick one of the three tasks and use AI only for that, all week. Read every output before sending. At the end of the week, note how much time you saved and how often you had to correct something.
Common questions
Which AI tool should we use?
We don't recommend any particular tool. Whichever you use, follow the rules in lesson 3 and check before sending.
Can AI send messages to customers directly?
Not at the start. For the first few weeks a person should read and send every message. Even once you trust it, check anything involving rates or promises yourself.
Can it write in Hindi?
Yes, most AI tools write Hindi well. Read the result once to make sure it sounds the way your customers actually speak.
